Job Description

Job related competencies

  • Manage stakeholder calendars to ensure meetings are in place.
  • Coordinate and support travel arrangements. Include making flight, hotel, visa, local car arrangements, set up meetings, internet check-in before flight departure. Prepare of travel folders.
  • Assist to process T&E claim through Concur.
  • Update Management and department Movement Chart for better visibility.
  • Track department yearly compulsory trainings to ensure 100% completion before due corporate due date ie. Annual Ethics Training, Security Awareness Training and Safety Training.
  • Perform ad-hoc assignments, ie, sit in department meeting, create reports, minutes writing and preparing slides.
  • Logistics support for visitors in town.
  • Logistics support for quarterly All Employee Meeting.
  • Administrative support for Management Meeting and Department Meeting.
  • Ensure Department Organisation Chart is update real-time in sharepoint.
  • Assist managers for new hire readiness. ie, set up workstation, prepare welcome pack, work with IT to obtain phone, assign extn, inform Security on new hire badge colour code access.
  • Assist off-board employee on Exit Checklist such as collection of Citi-Corp card and cabinet keys.
  • Assist department on logistics for workshop held inhouse or offsite. ie. Lunch arrangement.
  • Assist department in handling of courier document, mails distribution and parcels/parts shipment.
  • Assist department in office supplies management ie, stationery, IT supplies.
  • Assist Manager/department for shopping cart buy on behalf purchase and confirmation (if there is any).
  • Maintain department Evacuation/Drills roll-call list (those who are assigned).
  • Update of department seating location in the EHS folder.
  • Share Service Award Anniversary BRAVO e-certificate to Manager.
  • Reception coverage when receptionist is out of the office.
  • Contribute ideas and collaborate with different teams in at least 1 quarterly team meeting and other projects.
  • Support Plant tours arrangement.

EDUCATIONAL QUALIFICATIONS / WORK EXPERIENCE

  • You need to have Bachelor’s degree.
  • Minimum 5 years of Administrative experience is required.
